  • reference drawing, dimensions or a physical sample;
  • required FSC claim and planned label or promotional use;
  • estimated first order and annual volume;
  • finish, logo, packaging and barcode requirements;
  • known compliance tests and retailer protocols;
  • target sample date and launch date.

If some decisions are open, label them as open. A responsible supplier should not force certainty where the design is unfinished. The first objective is to identify the few choices that drive claim feasibility, performance, MOQ, price and schedule. Once those choices are visible, the quotation becomes a decision document rather than a guess.

Keep an order-level verification file after approval

Qualification is not finished when a buyer approves the first sample. Build an order file that preserves the commercial and technical evidence behind the decision. At minimum, retain the supplier quotation, purchase order, approved drawing, controlled bill of materials, golden-sample record, certificate search result, scope page, agreed transaction claim, packaging artwork approval, test reports, inspection report, invoice and packing list. Use file names with the SKU, revision and date so a future reviewer can reconstruct what was approved without relying on an employee's memory.

Define a review trigger as well as a review date.A change in legal seller, manufacturing site, certificate status, material source, product group, finish, adhesive, label artwork or subcontracted process should reopen the relevant part of the assessment. Annual review alone is not enough when an important change occurs between review dates. Procurement, quality and marketing should each know who must be notified and who has authority to release the updated specification.

For repeat orders, compare the new order with the approved baseline before confirming price. A lower quotation may reflect a changed panel grade, finish system, claim, package or inspection level rather than a true productivity improvement. Ask the supplier to highlight every deviation. Then decide whether new sampling, testing, claim review or artwork approval is required. This simple change-control habit prevents a buyer from receiving a commercially familiar item whose evidence no longer matches the promise made to customers.

Decide how long the file will be kept by looking at the contract, retailer protocol and destination law with a qualified adviser; there is no useful one-size-fits-all period. The test is practical. Months after delivery, could the team answer a retailer's question by locating the order, the claim evidence, the person who released it and the corrective action, without searching through someone's email?

Final buyer checklist

  1. The required FSC claim is written in precise, product-specific language.
  2. The seller, manufacturer, payment entity and certificate holder are mapped.
  3. The certificate is valid in the official FSC database at the time of review.
  4. The relevant product group and site appear within the certified scope.
  5. The intended claim is confirmed before package artwork is approved.
  6. Any FSC label follows the authorized trademark approval process.
  7. The bill of materials defines certified and non-certified components.
  8. Receiving and production records protect material identification.
  9. The purchase order, invoice and packing list carry the agreed information.
  10. Quality, durability and compliance have their own evidence plan.
  11. Food-contact requirements are reviewed for the exact use and destination.
  12. MOQ and price comparisons use identical material, claim and packaging scope.
  13. The golden sample, drawing, BOM and artwork share controlled revisions.
  14. Final inspection checks both product conformity and claim-related details.
  15. Supplier status and transactions are monitored after initial approval.
